Timesheet

This article describes how to create, update and submit timesheets in the system.

Accessing your Timesheets

An individual can access their Timesheet by navigating to the “My Timesheet” link that appears in the list of menu items that run along the left hand side of the screen. The user will need to be in the “my Org” portion of the site to see this link. You can get there by clicking the “my Org” button/tab that appears that appears at the top of the page.

Accessing your Timesheets

After clicking the “My Timesheet” link, the user will be brought to a page that appears similar to the image below. From here the user can view open Timesheets and past Timesheets. Selecting a Timesheet will cause the view to switch over to the “Selected Timesheet” tab which will allow you to see the calendar items included within that particular Timesheet.

Within the “Open Timesheets” tab is a list of all un-submitted Timesheets. From here you also have the option to create new Timesheets.

Selecting “Create a TimeSheet for today” will create a Timesheet with a start and end date of today’s date. “Create a TimeSheet for Yesterday” will create a Timesheet with a start and end date using yesterday’s date. Finally, “Create for a Time Range” will allow a user to enter a custom range for items to be included in a TimeSheet. If a user attempts to create a timesheet with a start and end date that is within the range of an already existing Timesheet, a pop up will display alerting the user of such.

Updating your Timesheet

After creating your timesheet, a screen will display showing you all calendar items that fall within the Timesheets date range. In my example below, I am seeing all items that occurred on 8/4/16. You will be able to see the Date, Start and End Time, Subject, Activity/Cost Center, Location and Clients associated with the item.

Updating your Timesheet

Any calendar appointment that fell within the Timesheets date range would have automatically been added to the Timesheet upon creation. If, for whatever reason, you need to remove an item simply click the checkbox in the left most column next to the item details and click the “Update Timesheet” button to remove it. Alternatively, if you create a calendar appointment after the timesheet was created simply reload the timesheet from within the “Open Timesheets” tab and locate the new item that was added after re-selecting the timesheet. You can also choose the “Add all New Items to this Timesheet” button to add any new appointments that fall within the timesheets date range but weren’t already included in the timesheet.

Submitting the Timesheet

After you are satisfied with the items on the timesheet, click “Submit Timesheet” to have it be reviewed and processed by someone with the Timesheet Admin permission. After submitting the timesheet, it can be reviewed within the “Past Timesheets” tab.

Within timesheet admin, a Timesheet Admin user can un-submit your timesheet. If this happens the timesheet will re-appear in Open Timesheets where you can make changes and re-submit as needed. If the user who un-submitted your timesheet provided one, an email explanation of why the timesheet was un-submitted will be sent to the email tied to your user account.

If your timesheet was processed by a Timesheet Admin user, the status of the timesheet will be displayed as “Processed” when you go back to look at the timesheet in “Past Timesheets”.
