Timesheet Admin
The role of Timesheet Admin is to review and release items added onto timesheets by users into the billing system. Before you begin your user will need to have access to the Timesheet Admin permission. If you don’t have this permission and believe you should, try contacting an admin user within your organization. To start navigate to Timesheet Admin by going to the Tools tab after logging into the system and then selecting the Timesheet Admin link in the menu that shows on the left side of the screen.
Afterwards, you will be brought to the Timesheet Admin page. From here you will want to search for a timesheet. You will need to enter in a start and end date parameter. This will find all Timesheets where the start and end date of the timesheets are within the start and end of the date range you entered.
Using the “Quick Date” drop down will auto-populate the start and end dates with dates based on the drop down option selected. For example, selecting the “This Month” option will populate the start and end date fields with the first and last day of the current month.
Next, select a group that the user whose timesheet you are trying to find belongs to in the “Department / Group” drop down. In my example in the image below, all user that have access to the Clinical department will be included.
Lastly, you can specify whether or not you want to include timesheets that have already been processed (released to billing) when you search.
After searching, timesheets that meet the search criteria will be displayed in the bottom half of the screen. The results will be grouped by the Employees Name. Besides the name, you will be able to see the start and end date of the timesheet along with its current status. If the status of the timesheet is “Processed” then the items, it contains have already been released to the billing system. If the status is “Submitted” then the items are pending review and waiting to be released to billing.
Clicking on a submitted Timesheet will open a Timesheet View window that allows you to see all individual items on that timesheet. At the bottom of the screen are button that you can use to “Release All Items” which will send all items on the timesheet to billing, “Queue All Items” which will automatically add the timesheet to a queue of timesheets to be released once the queue reaches this particular timesheet. Finally, “Un-Submit Timesheet” cause the timesheets status to be Un-Submitted so the user who owns the timesheet can made necessary modifications. Above the Un-Submit Timesheet button you can enter the reason why the timesheet is being un-submitted and it will be sent to the address displayed next to the “To” label.
On the main timesheet admin screen, you have the ability to open, create and modify timesheets for other users. To do this, select the name of a user in the drop down at the bottom of the page and then select the “Load Timesheet” button. From the window that pops up you will now be able to create, review and delete timesheets that belong to that user.
