Adjustment
Overview
Using Inventory Adjustment, you can view and change the current inventory levels for items within the system, as well as convert (or breakdown) units of an item from one unit into another. The grid on the Inventory Adjustment screen will display all inventory where there are more than 0 of the items.
Search Filters
When filtering items in the grid, you have the option to filter to a specific food item.
Category - The category assigned to the item you’d like to search. Note that this is a type-ahead field and will display options for you to select as you begin to type.
Item - The name of the food item. Note that this is a type-ahead field and will display options for you to select as you begin to type.
Warehouse - The warehouse location that the inventory is tied to.
Exclude OnOrder - If you want to exclude items that are on a Receive Order but haven’t been received yet, you can check this filter to exclude those items.
Within the grid, you can see all the items that were returned from your search query.
Warehouse - Indicates the warehouse location that the inventory row is tied to.
Item - The food item being displayed in the grid.
Designated To - Applies only to pantries that have been set up as a warehouse that delivers food to other pantries. If the inventory row has been designated to another pantry, the name of that pantry will show in this grid.
Best By - If a best by date has been entered for the food item, it will show in this column. Note that in cases where the same item exists multiple times with different best by dates, the inventory displayed will be grouped by best by date and all items with the same best by date will be displayed within the same row.
Quantity - The current quantity for the inventory item.
Exclude On Order - Will be checked if the item has been placed on a “receive order” that has not yet been received.
On the “Edit” dialog for an Inventory Adjustment grid row:
Item - The item you chose to view/edit.
On Hand Quantity - The current amount of the item currently on hand that can be used for fulfilling pantry orders.
On Order Qty - The amount of the item that has been added to a “Receive Order” but has not yet been received.
Requested Qty - The amount of the item that has been requested on a member order that hasn’t yet been fulfilled and delivered.
Allocated Qty - The amount of the item that has been allocated to a pantry member order that hasn’t yet been delivered.
Warehouse - The warehouse location tied to the Inventory Adjustment grid row.
Options - Within options, you have the ability to adjust the current quantity of the item using the “Change Quantity” option or break down or combine units of the item into a different unit of measure using the “Convert UOM” option.
Changing inventory designation
Changing designation applies to Pantries that also act as a Food Bank for other pantries. To change the designation of inventory, first, find the inventory item that you wish to update. Click the edit button in the row.
Choose the “Change Designation” option on the dialog window that opens.
Choose the Pantry that the inventory will be designated to and enter a quantity to designate. You can enter a reason for the change as well.
Finally, click “Change Designation” to complete the change in designation.
You will see the newly designated inventory in the grid. The quantity of the original inventory grouping has also updated to reflect the change in designation.
Negative Inventory
Next to the search button, there is a “-“ button. You can use this button to find items that have negative inventory.
After clicking the button, you can see the quantity of the items within the grid and add an offsetting entry for the item using the “+” column in the grid.
To switch back you can use the green “Eye” icon that appears where the red “-“ icon appeared previously.
