Manage Orders

The manage orders screen can be used to view and act upon pantry member orders that have been filled using the Fill Order screen.

Overview

When you go to the Manage Orders screen, you will see all orders that have been fulfilled using the Fill Orders screen but have not yet been delivered. You can filter the orders by Pantry Member if you have their ID, or by pickup date using the fields next to the search button.

Note that some pantries are enabled to have multiple sites within their systems. If this is the case, when the "Manage Orders" page is loaded you have the option to display orders placed against all sites by selecting the "All" option within the "Sites" drop down pictured in the upper right hand corner of the screen shot above or you can choose to only display orders made against menus for a specific site by selecting a site within the drop down.

This screen can also be used to mark an order as delivered without using the Pantry Visitors tool, or roll a customer order back to the Fill Order screen if there is an issue with the initial Allocation.

Rolling Orders Back to Fill

If an order needs different branded items allocated for any reason, a user can use the Cancel Sign button on an order (see above) to roll one specific order back to the Fill Orders screen. Alternatively, you can use the check boxes next to the order to select many of them and click the red "Cancel Selected" button to roll two or more orders back to the Fill Order screen. The user can then re-allocate inventory items to the order before marking it as delivered.

Marking an Order as Delivered

If an order has been delivered, but for some reason, the pantry member did not undergo the Check Out process, the user can mark the order as delivered manually using the Manage Orders screen. To mark one specific order as delivered, click the Shopping Cart button (see above) for the correct order. Two or more orders can be marked as delivered by selecting them using the check boxes on each order and selecting the green "Mark Delivered Selected" button.

Viewing order details

Clicking the “eye” icon on an order in the Manage Orders page will allow  users to see what items have been requested and allocated to an order.  You can see details of the item that was requested in the topmost row.  The rows that follow show what specific (branded if applicable) items  were actually allocated to that request.

Reversing Delivery

For cases where an order was accidentally marked as delivered on the manage orders screen you have the ability to reverse the delivery. This will return the order to the Manage Orders page but set the status  of the order to allocated instead of delivered. The order can be further  unallocated and sent back to the “Fill Orders” page using the  “Unallocate Order” button.

To reverse the delivery of an order, make sure you have the “Include Delivered” check box checked on the Manage Orders page and find the order you want to reverse. Make sure the order is checked and then, simply click the "Reverse Delivery" button.
