Contacts
The contact widget will allow you to search for contact in the system.
Overview
1. The contact heading will display the folder that you are searching against
2. You can change the contact folder to another folder you have permission to
3. Results from searching will show contacts here
4. Buttons to perform more actions
Settings
Search Type: Unused currently.
Display Name: The name that shows in the contact heading before the folder name.
Default View: You can choose the default folder that is used in this widget.
Number of records: This is the number of records that displays in the search results
Manage fields. Here you can define what columns show in the contact results grid. Searchable fields will allow you to search against in advanced search. Display in result will show that column in the results.
Click the save button to save any changes you make on this dialog.
Buttons
1. Search. This button will search for contacts matching what you typed into the search field
2. Advanced search. This will toggle the display of additional fields that you can search against for a specific search.
3. Add. This will allow you to add a new contact in the system.
4. Toggle Checkbox. After searching for contacts, this will display checkboxes next to the contact, and allow you to perform more actions. Explained later in this article.
5. Select folder. You can select another folder that you have permission to in order to search for contacts.
Advanced Search
With advanced search button clicked, it will display specific fields that you can search against. This can be used to search for a contact using a specific field. Enter in what you want to search for in the field(s), and click the search button to perform the search.
Toggle Checkbox
After searching, you can toggle checkboxes in the grid by clicking the Toggle checkbox button. With the checkboxes, you will see new options that can perform actions against checked contacts.
Copy Selected into Group
The copy contact button will allow you to copy one or more selected contacts into a group that you can see.
Remove from Group
If you have permissions, all checked contacts will be removed from the group.
The email button will allow you to email the selected contact(s)
A contact will need an email address for it to add to the email dialog. If there is no email, the dialog will still open, but no email will be in the “TO” field.
Calendar
The calendar button will allow you to create a calendar item with the selected contact(s) associated.
View Location
The calendar button will allow you to create a calendar item with the selected contact(s) associated.Clicking the address will open Google maps which will allow you do more things like directions and street view.
Quick View
The quick view button will display address details of the selected contact along with “additional info”. Only one contact can be selected at a time for this feature to work.
Upload to Folder
Added in version 3.3, The Upload to Folder button will all you to upload file(s) to the selected contact's department folder. You can only select 1 contact for this feature to work.
The upload also supports drag and drop. Simply drag the file(s) into the drop zone after selecting the folder to upload to.
You can add more files to the same folder, or switch folders to upload additional files. When finished, click the Close button to close the dialog.
If the document is too large, the upload will fail, indicated by the warning icon on the upload results. If you are uploading an image file from a scanner, try using a smaller DPI to decrease the size of the file.
