Header Pages

Header pages are barcode pages that are generated from the system to route outside documents into the system via a scanner.

There are 4 types of header pages that can be generated from the system.

  • Client Header
  • Client Form Header
  • Anonymous Header
  • Anonymous Form Header

These 4 types of header pages will be explained later in this document.

Creation

In order to use any of the Header pages, you will need to first print them from the system. This is accomplished by first clicking on the new form icon under any contact. If you are creating a client specific Header Page, you will want to click on the new form icon under that contact.

Then click on the [Print HeaderPages] link that is located on the Create New Form Popup

This will take you to the page that can create all the types of Header Pages.

Client Header Page

This type of header page will allow you to scan anything in for the contact selected, but will not route to a department, or give the file a name.

Creating this type of header page will create a barcode page that looks like this. You will see that no Department is present and neither is a document name. The contact name is displayed informing you that this is the contact that scanned documents will be linked to.

When scanned → batched → processed

It will add the document to Unfiled and without a document name. These header pages are normally used in conjunction with other types of header pages, and would not be used alone. On the Batch Scan page under Tools, you can route the document to a folder, but cannot modify the document name.

Client Form Header

This type of header page will allow you to scan a document and route it to a specific Department folder with a specific name.

This type of Header Page is created by checking the “Make Header Pages for [Contact Name] only” check box and also checking a document from the list.

Client Form Header

If there are no saved documents, one will need to be created. This is done by clicking the Add Doc button then selecting

  • Department – the department that the document will be routed to.
  • Form Name – Used to select the name of the document
  • Document Name – Can be the name from the Form Name dropdown or a name that you type in.

Pressing the add button will add the document to the Header Page list.

Checking “Add as Permanent” will save it to the list so it may be selected again.

Once a document is created, it must be selected by checking the checkbox next to the name.

Finally click the print button to print the barcode page.

By looking at the Header Page, you can see that when scanned in it will route the document to the File department with the File Name of “Driver’s License

On the Scan batches page you will see that the document has been routed to the File department folder with the Document Name of “Driver’s License

And looking in the department folder you will see the file

This type of Header page will include itself into the PDF that is created. This is useful for items like Driver's Licenses. You can lay the driver's license on the printout with the barcode, and scan both in at the same time

Anonymous Header

Not used currently. This type of header would allow you to scan a document in and it would not tie it to a Contact, not place it in a Department folder, nor give it a name.

Anonymous Form Header

Anonymous Form Headers are header pages that do not have a client but will specify a Department and a Document Name.

To print this type of header, you would only select the document from the list

Anonymous Form Header

The barcode printout will have the Department name, and Document name filled out. The contact listed will be Anonymous. Since there isn’t a contact, when scanned into the system it will not route anywhere. It will have to be manually linked to a contact on the Batch Scan Page under Tools.

Anonymous pages are not included in the PDF that is generated, so you cannot place a Driver License on this sheet like with the Client Form Header page.

This type of page is reusable, and since there is not a contact associated it can be used in conjunction with a Client header page to route documents into a clients folder without the barcode page being included.

To accomplish this, you will need to select a Client Header Page, and a document.

If you are doing this for multiple contacts you do not have to reprint the document. You can save this printout to use with other Client Header Pages.

This printout will consist of 2 pages.

The Client Header page that will direct the scan to the specific client

And an Anonymous Form Header which will direct the scan to the department and give it a document name

When the scan is processed into the system you will see that the item was routed to the contact (from the Client Header Page) and placed into the correct department with the correct file name (from the Anonymous Form Header)

And when viewing the file you will notice that no barcode pages are included.
